Goodbye to manual systems with lightning-fast implementation

If you were to ask almost any company what they thought about implementing a new finance system, in the last two months of the financial year, through the Christmas break, you could almost guarantee the same answer – you must be crazy!

But some businesses are willing to make big moves for big rewards. And that is exactly what happened with a new client of ours.

The challenge:

We had demonstrated Microsoft Dynamics 365 Business Central to the client, and the talk had been positive, but with no apparent urgency… just was we were embarking on our Christmas break.

“We really like Business Central and are keen to progress this. Our year-end is 30 January 2023. Is this possible?”

Now, let’s just put this into context – the client is a family business comprising five or six relatively small companies, so, not a multi-national conglomerate. The scope was for the financial modules for two of the companies only.

However, we hadn’t completed requirements analysis (determining user expectations for a new or modified product) yet had to deploy an environment and configure two companies to use the GL, bank, receivables, payables, sales, purchasing, inventory, and fixed assets modules, as well as complete training, user acceptance testing, and data migration. This work would usually take three months to complete, but we had just eight weeks – minus two weeks of Christmas break.

The solution:

We completed a remote discovery workshop with the client using Microsoft Teams. With both parties committed to the tight timeline, the solution design was approved just before everyone closed for Christmas in December 2022.

On the 9th of January 2023, we were back in the office and sprinting to the deadline. Impossible? Not for our team.

Fast-forward three weeks, and on the 30th of January 2023, end-users were trained, user acceptance testing was successfully completed, data migrated, and the system went live.

Outcomes…

• A lightning-fast implementation.

• The client is delighted.

• The new financial year has started well.

• The client is already saving time and money.

Even in recent years, this type of lightning-fast implementation would have been thought impossible. Technology aside, it’s difficult to have a successful implementation without a great client, and we had just that. Despite being busy themselves, they tackled the project with enthusiasm and gusto, made decisions quickly and put the right people in place to make sure the project ran smoothly.
